A short list of client life changes for the operations team

An independent financial planning and wealth management firm · 2026

Situation

Clients mention important changes in passing, such as a retirement date, a new grandchild, a move, an inheritance or a death. Each change should lead to an update in the CRM or a call. Catching these changes depended on someone remembering what a client had said.

Solution

A tool gathers these changes into one short list for the operations manager. Items the team may need to act on come first, sorted by priority. Items that appear to be handled already follow in a separate section for a quick review. Every item carries the exact words it is based on, so the reader can judge it in seconds.

Design decisions

The aim is to catch every change the team should act on, so Jeff Hunt set the tool to include an item whenever it is uncertain. An item that seems to be handled is placed lower in the list and is never removed, so nothing is dropped on the AI's judgment. The list never states that the team missed something; it reports only what was said.

The tool changes nothing in the CRM, and the team decides what to do with each item. Before any change to the tool is released, it must find a set of known past events again. That test prevents an improvement in one area from losing an item the tool used to catch.

Outcome

The operations manager receives one prioritized list of the life changes clients have mentioned, each with its source words. The team can update the CRM or call the client without relying on anyone's memory of a conversation.
